MAA Facilities Support Coordinator in Memphis, Tennessee

Job Summary

The Facilities Support Coordinator works under the general supervision of the Corporate Office Manager to perform tasks related to coordinating office space and equipment and also working as the liaison between MAA and building management. Responsibilities will include overseeing postal equipment and processing mail; coordinating preventative maintenance and repairs; maintaining inventory of office space, furniture and related equipment and supplies; coordinating and executing complex projects.

Duties and Responsibilities

  • Oversees the mail room equipment and coordinates with vendors. Assists with processing incoming and outgoing mail from multiple sources daily. Coordinates and facilitates mass mailings in coordination with other corporate departments.

  • Coordinates repairs with leased building/facilities management and/or contracted vendors for office and company-owned building equipment (e.g., shredding, copiers, postage, parking decals, key fobs, coffee service, vending machines). Uses service management system (e.g., ServiceNow) to receive, document, track and fulfill requests in a timely manner. Reports and communicates status on service requests and projects to direct supervisor; escalates issues to direct supervisor as appropriate.

  • Develops and maintains inventory and logs of all corporate office furniture and components, supplies, materials and storage space. Orders supplies and ensures shared supplies are appropriately stocked (e.g., paper and toner for copiers/printers).

  • Assists with the planning and facilitation of office space reassignments and set up for current and new employees, including preparing workstations and ordering new components (e.g., dry erase boards, special equipment). Maintains database of floor plans with employee locations and equipment details. Develops and maintains diagrams of all areas of the corporate offices as directed.

  • Coordinates and executes special projects and services for the corporate office and departments including, but not limited to, setting up rooms and audio visual equipment for meetings and special events, handling special orders and installation of equipment, supplies, etc.

  • Administers corporate office key management and parking decals for all employees per policy, including activation, deactivation and/or replacement. Administers the corporate office security cameras, including software and monitoring. Provides security access history logs and/or camera footage to HR upon request.

  • Operates and maintains a flexible schedule, including nights and weekends as needed, with on-call availability for special projects and/or facility management needs.

  • Performs other related duties as assigned to meet the needs of the business.

Required Qualifications

  • High school diploma/GED and three to five (3-5) years of building/facility management and/or maintenance experience required, or an equivalent combination of education and experience

Preferred Qualifications

  • Bachelor’s degree in a technical field of study preferred

Knowledge, Skills, and Abilities

  • General knowledge of facility preventative maintenance and repair

  • Skill and ability to assess, evaluate and coordinate service requests to resolution

  • Knowledge, skill and ability to facilitate the set up, configuration, and break down of meeting spaces

  • Knowledge of audio-visual equipment and set-up for meetings and events

  • Ability to visually inspect grounds and facility to determine adherence to standards

  • Leadership and coordination skills to delegate and guide the work activities of contractors and/or vendors

  • Ability to interact with all levels management with professionalism

  • Skill and ability to clearly and concisely communicate verbally and in writing

  • Knowledge and skills to organize, prioritize, and meet deadlines for projects

  • Customer service and problem-solving skills to assess, anticipate and address business needs

  • Ability to read, interpret and apply written instructions for repair and maintenance of equipment

  • Quantitative analytical skills and attention to detail to inventory and maintain equipment and supplies

  • Basic computer/technical skills to operate mobile computing or communications devices and use standard Microsoft Office software applications (Word, Excel, Outlook)

  • Ability to maintain confidentiality and maintain appropriate discretion

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This position requires the ability to occasionally lift office products and supplies, up to 50 pounds individually and greater than 50 pounds with assistance from other staff and/or devices.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
